Get started using Trials Australia Online Entries

Using our years of experience with Trial, our goal is to create an online entries system that works well for competitors and organisers and are starting slowly with Victoria initially to make sure we get it right. This means we may not be able to add your event right away but we still want to hear from you.

Send an email to contact@trials.com.au letting us know you'd like to use our system.

What information do I need to provide to use online entries for my trial?

All the data that we need is already in your supp regs/entry forms. Send over a draft of your supp regs so we can enter it into our system to configure a seamless entry experience and correct pricing options for entrants*.

These are the data points the system needs, if there's anything missing from the Supp Regs, please let us know:

  1. Pricing tiers for the following: Solo, Junior, Minder, Sidecar, Family. We can also do special pricing options: e.g - for 2 day events where riders can observe one day and ride the other etc.
  2. A main contact (typically Trial Secretary) for the event to receive emails when somebody enters and to pass on class changes for entrants or cancellations for us to process manually. This email also receives a report of all details of the entrants, their licence information and payment records.
  3. List of grades/classes that will be competing in the event.
  4. Date to close online entries. This can be extended if necessary, but an initial date is required.
  5. Race Secretary and other key contact points - Include both contact Name and Phone Number.
  6. What 'on the day' licence options are available for purchase?
    1. One Event Competition Licence ($75)
    2. One Event Recreation Licence ($25)
    3. Come and Try Licence (Free)
  7. Optionally, a trials.com.au custom URL for your event which we can redirect to your event page. e.g -
    Custom URL: https://trials.com.au/2018AustralianChampionships redirects to
    Event URL: https://trials.com.au/victoria/events/665/2018-australian-trial-championships
    Add your custom URL to your supp regs to make it easy for entrants to type in.

  8. Account Number, BSB and Account Name for your club/organisation.
  9. Any other rules that may affect online entries for your state that will need to be added to the entry form.
  10. Exact GPS coordinate for the entrance to the venue - e.g - the coordinates for Sedgwick in Victoria are -36.897779, 144.2958663. We use these to add Google Maps Driving Directions to your event page and email confirmation.

* - We add and control updates to event details for now, get in touch via contact@trials.com.au or 0408 121 282 for this, but very soon this will open up to any organiser to add and edit using a secure login.

Promoting your event with Online Entries

Create a new article on the Trials Australia homepage that includes the Entry Form/Supp Regs PDF as an attachment and encourage riders to enter online.

Ensure you also choose your event in the dropdown on the screen as this will automagically add both pricing and a link through to the event page for our seamless signup.

Once Online Entries are online

When new entries arrive, the entrant will receive an entry confirmation email and an invoice for their payment. The main event contact will also receive a copy of each entrant's confirmation email.

Once Online Entries have closed

Shortly after entries close the main contact will receive an email with several files:

  • An XLSX file of all entrants, their personal details, licence details, payment records including a total of takings for the event.
  • A CSV* report is also generated for importing into trialsport.com.au Scoring System with little fuss. Email a copy to ride@trialsport.com.au to get your scoring file generated with your event.
  • We also generate a custom MV/MSA approved Indemnity PDF for entrants to sign on the day.

The XLSX or any of the other files can be requested at any time during the online entry process to help with event planning.

* - CSV files can be opened in Excel (Mac/Windows), Numbers (Mac/iOS) or similar spreadsheet apps.

When do I get paid?

Funds from your event will be transferred from our account 3 business days after your event finishes. Depending on bank processing times this is likely 5 business days total before it arrives in your account.

How do we handle refunds?

If your event supports refunds, get in contact with us as soon as possible mentioning the Entry reference number that looks like GM18-1234, where GM18 is the unique event code for Glenmaggie. Entrants who choose to get a refund will have their full payment refunded minus our $1.10 Event Processing Fee.
